SmartGard.AI Mobile App Privacy Policy

1. Data Collected

• The App itself does not collect images, video, or audio from your mobile device.

• All visual data processed by SmartGard.AI comes from external CCTV cameras connected to the SmartGard system. These may contain personal data (such as identifiable images of individuals).

• CCTV images and video are transmitted for analysis only with the consent or other valid legal authorisation of the system administrator (e.g., the owner or operator of the CCTV installation).

• The App may collect minimal technical information (e.g., device type, IP address, usage logs) only to support operation and security.

2. Purpose of Processing

The SmartGard system processes CCTV images for the following purposes:

• Analysing images with artificial intelligence (AI) models

• Detecting and reporting events defined in user scenarios

• Generating reports and alerts for security and operational use

The mobile App displays these results and allows users to configure system settings. The App itself does not process raw CCTV images.

3. Data Sharing with Third Parties

For AI analysis, CCTV images may be transmitted securely to external providers, including but not limited to:

• OpenAI – Data may be retained up to 30 days (unless zero-retention is enabled) for service provision and abuse detection. Data is not used for model training without explicit opt-in.

• Anthropic – Data is not used for model training by default. Processing is limited to analysis and safety checks.

• Google – Data may be processed by Google AI services strictly for analysis purposes.

• Microsoft Azure OpenAI (if used) – Data remains within the customer’s Azure environment, encrypted, and not used for training.

• Other AI providers – which may be integrated in the future, and will be disclosed in updated versions of this Privacy Policy.

Important: Data is shared with these providers only when the system administrator has provided appropriate consent or legal basis for such processing.

4. Data Location and Transfers

• All SmartGard.AI data (including CCTV footage and related logs) is primarily stored in secure data centres located in the United Kingdom.

• Data is encrypted both in transit and at rest.

• We do not transfer or store CCTV footage outside the United Kingdom, except when footage is submitted for analysis to external AI providers (such as OpenAI, Anthropic, or Google). These providers may process data in their own data centres, which may be located outside the UK or EU.

• Any such transfers are limited to the minimum necessary for analysis, are transmitted securely, and are subject to appropriate safeguards under applicable data protection laws (e.g., Standard Contractual Clauses or equivalent).

5. User Consent

• The collection and processing of CCTV images occur under the consent or legal basis established by the administrator of the CCTV system (for example, the facility owner).

• Users of the App acknowledge that CCTV footage may be transmitted to third-party AI providers for analysis as part of the SmartGard.AI system.

6. Data Retention and Deletion

• CCTV images are retained only as long as necessary for analysis and reporting.

• Processed data may be stored temporarily for troubleshooting or auditing.

• Users or administrators may request deletion of stored data in accordance with applicable laws.

7. Security

We apply technical and organisational measures to protect data, including encryption in transit (TLS), encryption at rest (where applicable), and restricted access controls.

Depending on your jurisdiction (e.g., UK GDPR, EU GDPR, CCPA in California), you may request:
